Appointment Policies
Our office will make every attempt to work with you on scheduling
appointments. However, it has been our experience that certain times work
better depending upon your child’s age. Preschool children are typically
seen in the morning when they are fresher and we can work slowly with them,
ensuring the best visit possible. School age children with significant
amounts of treatment to be performed will also be scheduled in the morning
for the same reason. Dental appointments are an excused absence from school
and will not count against your child’s attendance record. After school
appointments are reserved for school age children’s exams and cleanings.
Since appointments are reserved exclusively for each
child we ask that you contact the office at least 48 hours in advance if you
need to cancel or reschedule. We realize that children get sick, emergencies
arise or sometimes people forget. However, if broken appointments become a
problem, we reserve the right to charge a broken appointment fee. Please see
First Visit/New Patient Forms for
more details.
Am I allowed to
be with my child during treatment?
Our policy varies depending upon the child’s age. We expect parents to come
back with infants and toddlers, as the child will be examined in the
parent’s lap. For preschoolers three and up, we ask that you allow our staff
to accompany your child during the visit. When a parent is present, the
child concentrates their attention on the parent, not us. That makes it much
more difficult to communicate effectively with the child. Clinical research
over the years has shown that children respond best to dental treatment when
they bond with the dental staff. Our observation room next to the treatment
area will allow you to monitor how your child is doing. If your child is not
cooperating, we may ask for your assistance. However, please give us the
opportunity to attempt treatment that our experience has shown provides the
best results for children. For school age children, parents are requested to
remain either in the saloon, waiting areas, or observation room. If
additional children not being seen by our office accompany you, you will be
responsible for monitoring them during the appointment.
Financial Policies
Payment for services is expected at the time treatment is rendered. We
accept cash, check, MasterCard and Visa. We will make every effort to
customize a treatment plan that works within your budget yet still gives
your child the best possible care. Please see
First Visit/New Patient Forms for
more details.

Dental Insurance
If our office has received all necessary information from your insurance on
the day of the appointment, we will be happy to file your claim for you.
However, you need to be familiar with what type of insurance you have
(indemnity or “traditional” insurance, PPO, or DHMO) before the first
appointment as the amount you will pay varies depending on your coverage. We
accept most traditional insurance and some PPO and DHMO plans. We will
collect from you the estimated amount that your insurance will not pay on
the day of the appointment. By Texas law your insurance company must pay
each claim within thirty days of receipt. We file electronically so your
insurance company will have your claim within 48 hours. You will be
responsible for any amount not paid by your insurance after one month. If we
receive a payment from your insurance company after one month, we will send
you a refund of the amount owed to you. Please see
First Visit/New Patient Forms for
more details.
Some Common Myths Concerning Insurance:
1. “My insurance said it would pay 100%!” – Dental insurance is meant
to assist you in payment for treatment. It was never designed to pay for all
charges. Some insurance companies state they will pay 100% of exams,
cleanings, and x rays. However, this is up to their maximum fees for a
procedure – which may not be our fees. For more extensive treatment, most
will pay between 50 – 80% of the total. This will vary depending on how much
you or your employer has paid for coverage or the contract between your
employer and the insurance company.
2. “My insurance says your fees are too high!” – You may notice when
you receive your Explanation of Benefits (EOB) that your insurance may pay
our office less than our actual fee. Insurance companies often state that
the reimbursement was reduced because our fees exceeded the usual,
customary, and reasonable (UCR) fees established by your insurance. This
gives the impression that any fee greater than the amount the insurance
company is willing to pay is unreasonable or above the average for the area.
This is both misleading and inaccurate.
Insurance companies set their fee schedules based upon claims they process.
The company then takes this data and arbitrarily chooses a level they call
“reasonable”. Oftentimes, this data may be three to five years old and these
fees are set by the insurance company so they can make a net 20-30% profit.
Unfortunately, your insurance company may imply that our office is
“overcharging” for a procedure, rather than say they are “underpaying” for
it. In general, the less you pay for your insurance, the lower will be their
UCR fees.
3. “I didn’t know I had a deductible!” – When estimating your cost,
deductibles must be considered. For example, let’s say our fee for a
procedure is $150. Let’s assume that this is within your insurance
companies’ UCR fee. If your deductible is $50, they will first deduct that
from what they will pay. Then if they pay 80% of the remaining $100, you
will be responsible for the other $20. Once your deductible for the year has
been met, they will pay more for the same procedure (in this instance, 80%
of $150 vs. 80% of $100).
IMPORTANT NOTICE: Please keep us informed if any changes occur with
your insurance such as policy name, insurance company address, change of
policy or change of employment.
